01. Overview

OAK’S LAB partnered with VDC (Virtual Dining Concepts), a leading management company for celebrity-branded ghost kitchens, to build automated financial solutions that streamlined revenue recovery and reconciliation processes, unlocking significant monthly revenue previously lost to manual operations. We built the Linked Eats platform with automated revenue recapture and reconciliation modules, recovering tens of thousands of dollars monthly, and identified over $300,000 found in a disconnected account only a month after launching the MVP.

02. Client background

VDC is a pioneering ghost kitchen management company that specializes in creating virtual restaurants branded by celebrities and popular entities, such as MrBeast Burger, Mariah Carey's Cookies, and NASCAR Pit Stop.

They partner with existing restaurants, such as IHOP, to utilize spare kitchen capacity, operating exclusively through delivery platforms while sharing revenue between brands, VDC, and restaurant partners.

03. Challenge

VDC faced significant revenue leakage through delivery service provider (DSP) refunds, with no efficient way to contest improper charges across thousands of locations and hundreds of thousands of orders.

Managing refunds from platforms like DoorDash, Uber Eats, and Grubhub across thousands of locations was inefficient, causing substantial revenue loss. Manual processes were labor-intensive and prone to errors, while reconciling bundled payouts against accounting records was virtually impossible at scale.

Additionally, limited visibility into operational data hindered strategic decision-making.

04. Solution

We built the Linked Eats platform with two primary modules:

Revenue Recapture

An automated system that identifies contestable refunds where the restaurant wasn't at fault, like late delivery by the third-party delivery service provider, and automatically initiates the recovery process.

Revenue Reconciliation Module

Automated the reconciliation of bi-weekly and monthly payout statements against actual orders, ensuring accurate financial records and promptly identifying discrepancies.The infrastructure was designed as a modular widget system, allowing VDC to customize dashboards based on selected features and sell individual components to external clients. Data pipelines were established to clean and process information from multiple delivery platforms.

05. Outcome

Significant revenue recovery

Recaptured tens of thousands in monthly revenue through automated refund contestation and discovered $300,000 in a previously disconnected bank account within 1 month of launching the MVP.

Platform scalability achieved

Successfully deployed across thousands of physical ghost kitchen locations with automated processing of hundreds of thousands of delivery orders.

New revenue stream established

Created an additional business line for VDC by packaging revenue recapture technology for external sales to restaurant chains.

Enterprise clients secured: Secured and onboarded national restaurant clients such as Red Robin, Del Taco, and California Pizza Kitchen.

Modular infrastructure delivered

Built a flexible widget system enabling customizable dashboards and selective feature activation, supporting VDC's transition to becoming a restaurant technology aggregator.
